Summary of NCSX SIT Meeting of Monday, August 18, 2003

1. Plans for Briefing OFES on Project Baseline Parameters

We are preparing to present a proposed Performance Baseline and its technical basis in detail at the October 7-9 PDR. However, DOE needs to have our high-level parameters like TEC, project completion date, contingencies, included scope, performance, and risks in mid-September for their planning purposes.

At the August 12 Integrated Project Team (IPT) meeting with DOE it was agreed that a presentation to OFES on these issues would be arranged. This will provide an opportunity to get OFES feedback and incorporate it into the project's plans so that the project and DOE are on the same page going into the PDR.

Tentative Schedule
September 5. Status presentation to Lab Management (PPPL-ORNL telecon).
September 15 or 16. Dry Run incorporating updates and requested revisions. (PPPL-ORNL telecon)
September 18 or 19. Presentation to DOE (~2 hours, probably in person at OFES).

A reasonable delegation for the OFES expedition would be Hutch, Wayne, Rich, and Greg.

Issues and who is pulling them together
Included scope, discussion of changes since CDR. -Neilson
Day-1 and ultimate performance, discussion of changes since CDR. -Neilson
Risks and mitigation plans. -Reiersen, Schmidt
Program implications of proposed scope and performance. -Zarnstorff
Complete cost rackup  -Strykowsky
Critical-path schedule and major  milestones. -Strykowsky
Budget profiles, discussion of any changes since CDR -Strykowsky
Threshold parameters and trade space. -Neilson

To support this schedule, it is urgent that we finish pulling together the cost update and the critical-path schedule so that we have a complete, if not final, update to discuss on Sept. 5.

ACTIONS:
* Jim follow up with Brad on the WBS 1 cost and schedule updates. Input is needed soon.
* Ron schedule cost reviews of remaining outstanding work packages.
* Hutch arrange schedule with PPPL director's office and DOE.

2. Issues in Other Areas

* Preparation of PDR deliverables.
  - Simmons is developing a schedule for the Preliminary Design Report.
  - Reiersen will issue guidance to authors.
  - The GRD will need to be updated to incorporate some significant changes. (Wayne)
  - An outline of the VE report will be issued ASAP. The report itself will be sent in from Germany. (Mike)
  - The Risk management plan will be updated based on input received last week. (John)

* Space availability for ICRF launcher
  - The vacuum vessel geometry and joint design have settled down. The space planned for accommodating the high-field side ICRF launcher has been greatly reduced. An assessment by Physics is needed.
ACTION: Mike Zarnstorff contact Mike Cole for latest model. Physics to assess implications.
