Summary of WBS 3 Status Meeting of Monday, June 9, 2003

 

Attendees were D.Johnson, R.Strykowsky, W.Reiersen, M.Zarnstorff, and H.Neilson.

 

FY-03 variances were briefly discussed. SPI and CPI are running about 0.5. Discussion of variances, EACs, and issues will be a feature of monthly status meetings once the new baseline is in place.

 

Most of the meeting was devoted to a discussion of WBS 3 plans for the rest of FY-03, in preparation for the PDR. Updated plans submitted by Dave were the basis for discussion. A number of action items were identified:

 

1. Confirm that magnetic diagnostic installation scope is in WBS 18 (check WBS dictionary) and costs are in WBS 18 and not in WBS 3.

ACTION: Ron

 

2. Arrange Johnson-Chrzanowski meeting to reach common understanding of magnetic diagnostics installation scope during field period assembly.

ACTION: Dave.

 

3. It was noted that interface control documents are being used in some cases to document requirements. It was agreed that this is acceptable since it serves the purpose of getting things documented. Eventually there will need to be a WBS 3 system requirements document.

 

4. The port allocation map will be defined on a drawing, which will come under configuration control.  T.Brown/M.Cole will be responsible for the drawing. WBS 3 will provide input.

ACTION: Wayne determine when drawing is placed under configuration control.

 

5. Expectations for the PDR need to be clearly communicated to Dave.

ACTION: Wayne.

 

6. Dave recommended that responsibility for electron-beam mapping be transferred to project physics (WBS 84) because the requirements are not well defined.

ACTION: Mike and Dave make a recommendation.

 

7. Send Ukraine proposal for field mapping collaboration to Mike and Dave, if possible.

ACTION: Wayne.

 

8. Dave's updated FY-03 plans identify tasks and costs but not a schedule. Dates need to be added. Any changes resulting from this meeting should be incorporated, e.g. an internal technical, cost, and schedule review before August 31; development of a diagnostic acquisition plan  including specifications and other procurement documents (e.g. SOWs).

ACTION: Dave provide updated input to Ron. Ron generate revised WAF by June 13.

 

9. There was a short discussion of WBS 3 project costs. Only WBS 31 (magnetic diagnostics) will change. Despite the large increase in number of sensors, there was a significant reduction in the estimated cost of integrators. Of about 300 sensors (100 inside, 200 outside), only 100 will be instrumented on Day 1. Updates as a result of acquisition planning, if any, need to be incorporated.

ACTION: Ron prepare reconciliation summary based on input received and schedule cost input review meeting.
